Switching SEO Tools Before Your 2027 Renewal
How to move to a new SEO tool before your 2027 renewal without losing your rankings history: what to export, how long to run both, and a timeline.
Most SEO tool contracts renew in the same few weeks: the end of the year, or the anniversary of when somebody signed up. If your renewal lands before or early in 2027, the time to decide whether to keep it is now, not the week the invoice arrives. This is a practical guide to switching SEO software without losing the history you are paying for.
If you want the comparison of which tools are worth using, that is covered in Best SEO Tools for 2027. This piece is about the move itself.
Start with the renewal date, not the feature list
Find three things before you look at a single alternative:
- The renewal date and notice period. Annual plans often need cancelling before the renewal date, not on it. Missing the window by a day buys you another year.
- Whether you are on a discounted first-year price. A tool that looked cheap in 2026 may renew at its full price in 2027.
- Who else uses it. A tool one person logs into is easy to replace. A tool whose reports go to a client or a director every month needs a plan for those reports first.
Export everything the old tool will not give you back
Your rankings history is the part people lose. Most rank trackers keep the history only while you pay, and it is the one thing a new tool cannot recreate, because it cannot go back and check where you ranked last March.
Before cancelling, export:
- Tracked keywords and their full position history, as CSV, with dates.
- Keyword groups or tags, so you do not rebuild your structure by hand.
- Site audit results, at least the last full crawl, so you can compare the new tool's findings against the old one's.
- Backlink lists, if you used the tool for link data.
- Any scheduled reports, as a record of what stakeholders expect to see.
One thing you do not need to export: your Search Console data. Google keeps 16 months of it whatever tool you use, and any tool that reads Search Console directly can show you that history on day one. This is also a good reason to prefer a tool built on Search Console for rankings: your history then belongs to your Google account, not to a vendor.
Run both tools for two to four weeks
Do not switch on the renewal date. Start the new tool a few weeks before, and run both. You are checking three things:
- Do the rankings roughly agree? They will not match exactly. Rank trackers check from a location on a schedule, and Search Console reports an average of real searches. A consistent gap is fine; a keyword one tool says is on page one and the other says is on page five needs explaining before you trust either.
- Does the audit find the same serious problems? Different crawlers disagree on minor issues all the time. They should agree on broken pages, redirect chains and pages blocked from Google.
- Can the people who read your reports get what they need? If the answer is a screenshot every Monday, check the new tool makes that easy.
What to look for in a tool you start using in 2027
The questions that matter have shifted. A few years ago the deciding factor was the size of the keyword database. For most small teams it now matters more whether the tool:
- reads your own Search Console and GA4 data rather than estimating it;
- tells you what to fix first, not just everything that is wrong;
- tracks whether you appear in AI answers from ChatGPT, Gemini and Perplexity, since a growing share of research happens there;
- charges for what you use, rather than for seats you do not need.
UtilitySEO is built around those four, and it is fair to say where it is not the right choice: if your work depends on a very large backlink index or on keyword data for markets you have never published in, Ahrefs or Semrush are stronger there.
A switching timeline that works
- Eight weeks before renewal: confirm the notice period and export everything listed above.
- Six weeks before: start a trial of the replacement and connect Search Console and GA4.
- Four weeks before: run both side by side and compare.
- Two weeks before: move your reports and tell whoever reads them.
- Before the notice deadline: cancel, and keep the exports somewhere the team can find them.
